Terms and Conditions for Perth Poetry Festival 2025 Expression of Interest (EOI)
Welcome to the Perth Poetry Festival 2025. By submitting an Expression of Interest (EOI), you agree to be bound by the following terms and conditions, which are designed to ensure a transparent, fair, and enriching experience for all participants.
1. Submission and Selection Process
1.1 All EOIs must be submitted via the official form by the stated deadline. Late submissions will not be considered.
1.2 Submissions will be evaluated on artistic merit, creativity, alignment with the festival’s upcoming theme (to be announced), and their potential to engage and inspire audiences. Our goal is to curate a dynamic, inclusive, and innovative program that reflects the full spectrum of poetic artistry.
1.3 The WA Poets Committee, comprising WA Poets Inc members, experienced poets, and creative industry professionals, will review all EOIs. Their decisions are final and not subject to appeal.
1.4 All applicants will be informed of the outcome of their submission by late February or early March 2025.
2. Compensation, Funding, and Support
2.1 The festival is committed to ensuring fair remuneration for all selected participants, subject to funding availability. Details on rates and payments will be shared with successful applicants prior to finalising performance contracts.
2.2 Participants are responsible for arranging their own travel and accommodation. While the festival will explore potential support options, such assistance is not guaranteed.
3. Participant Responsibilities
3.1 All confirmed participants will be required to sign a contract outlining the festival schedule, expectations, and other conditions of participation.
3.2 All performances must be respectful, inclusive, and safe for audiences and participants. Dangerous or hazardous behaviour, the presence of illegal substances, weapons, or harmful materials will not be tolerated. Any participant found in breach of this clause may be removed from the festival and subject to legal action if necessary.
3.3 Participants are expected to adhere to the allocated schedule and attend their performances as agreed. Requests for changes to performance dates/times will be considered only under exceptional circumstances.
4. Intellectual Property and Media
4.1 Participants retain full ownership of their work. However, by participating, they grant WA Poets Inc a non-exclusive licence to use photos, video recordings, and promotional materials featuring their work for festival promotion, documentation, and archival purposes.
4.2 Performances delivered in languages other than English must be accompanied by a translation to ensure accessibility for broader audiences. If translation is not possible, participants are encouraged to engage with the festival to explore alternative accessibility options.
5. Cancellations and Adjustments
5.1 The festival reserves the right to amend, reschedule, or cancel any event due to unforeseen circumstances, such as extreme weather, venue issues, or other disruptions. Participants will be notified of changes as soon as possible.
5.2 In the event of cancellation, the festival is not liable for any loss incurred by participants (e.g., travel or accommodation expenses) unless expressly agreed to in writing.
6. Legal and Ethical Standards
6.1 Participants indemnify the festival and WA Poets Inc against any claims for damage, loss, or injury caused to persons or property during their participation in the festival, except in cases where the festival's gross negligence is proven.
6.2 By submitting an EOI, participants warrant that the content of their performance is their original work and that they hold all necessary rights to present it at the festival. Submissions found to be plagiarised or in breach of copyright will be disqualified, and participants may face further consequences as outlined in Australian copyright law.
6.3 Participants are responsible for arranging their own insurance if required (e.g., public liability or performer insurance).
7. Acceptance and Compliance
7.1 Submission of an EOI signifies acceptance of these terms and conditions. Participants are encouraged to review them carefully before submission.
7.2 The festival reserves the right to refuse participation or disqualify any applicant or participant for non-compliance, unsafe conduct, plagiarism, or behaviour that compromises the festival’s integrity at any stage of the process.
7.3 The festival reserves the right to modify these terms and conditions at any time, with updated terms communicated to applicants and participants as needed.
